clavis Integrates Risk Assessment Solution into Ruhr Oel GmbH SAP By implementing the intelligent risk assessment solution of clavis Unternehmensberatung Cologne, the Ruhr Oel GmbH could improve their safety management essentially. The SAP connected application is based on the SAP PM module that has been complemented by a newly developed Risk Assessment (RA) Cockpit and a mobile work clearance management. Significant improvements of quality and cost of safety management have been achieved as well as high usability. Plant maintenance in refineries ensures the continual smooth plant operation. The integration of preparatory and accompanying measures into the Maintenance Management System, especially the risk assessment of maintenance work, becomes more and more important for the personal safety, too. To reduce the both aspects, risk minimizing and efficient operation, to a common denominator is here the real challenge. The Ruhr Oel GmbH in Gelsenkirchen addressed this subject with help of the clavis Unternehmensberatung in Cologne. The result was a seamless approval procedure in the refinery: All possible risks were assessed, systematically recorded and linked to the respective safety measures. Thus a smooth operation has been ensured and the safety management has been improved significantly as well. To the date the workflow at Ruhr Oel GmbH was based on the use of Access data bases and paper work. Problems however had been encountered with the missing integration of SAP ERP. The double entry of work orders, operations and equipments was time consuming and error-prone. The actual solution is based on the SAP maintenance module PM. The module does not provide a standard functionality to maintain risk assessments and to print work control certificates. However, clavis consultants were able to add the needed maintenance transactions by a Control of Work Risk Assessment (CoW RA) cockpit in less than six months and with a manageable budget. A further task was to convince users that kept away from the SAP system so far, because of its complexity and the missing usability. With help of a sophisticated interactive traffic light control and use of significant colour codes and symbols, the RA application could be designed practical and self-explanatory. That way, the training effort was reduced to 2-3 hours per user. After a short time hundreds of employees used the new system. “We are very impressed, how we could significantly optimize our CoW processes with relatively low investment”, says Jörg Steinborn, responsible manager for risk assessment and work control certificate process at Ruhr Oel GmbH in Gelsenkirchen. “The approach of clavis also opens up new perspectives to improve additional processes not only at different maintenance sites but also in other departments.” At a major shutdown in autumn 2010 the mobile work clearance processing, also developed by clavis, was used for the first time. The fitters on-site were able to confirm the activated work clearance immediately and thus save precious time. The site initiated the control via work flow, mobilely too. With help of the Syclo connection recommended by SAP, the users could work on-site without failures, while the Syclo Agentry server controlled the synchronization in the background. In the backend the SAP delivered work clearance management (PM-WCM) has been complemented by a queue monitor and an error handling. Since 1997 clavis successfully provides advice in solutions of the SAP AG.
